Terms and Conditions

NORTHERN SPAIN TRAVEL hold terms and conditions under the business name Experiencias Out of the Box S.L ,“NST”. We are a Spanish corporation that is both a tour agency and active travel company registered under Experiencias Out of the Box S.L (registration licenses CI. NA-124/UETAC049). Please review the terms and conditions carefully prior to completing your reservation. Some of these terms and conditions are set out below to draw your attention to the fact that our obligations to you are limited.

Pricing + Payment Details

Deposit Upon Reservation

To start the confirmation process, and due to the upfront commitments arranged for this tour, a non-refundable deposit of 20% of the total tour cost is required to confirm this booking. There is a second payment of 50%  180 days before your journey commences. Final payment is due 100 days prior to departure. Bookings made within 100 days of the departure date requires full payment. If you reserve your trip within 100 days of departure, full payment is required. To complete your reservation, you must complete, sign and return a Traveller Information Form and an Acknowledgement of Risk form.

Method of Payment 

Payment must be in EUR, and can be made by transfer wire. All bank fees derived from bank transfers from US dollars or any any other currency to euros and / or international processing fees are the responsibility of the traveller. A 30 EUR charge will be added if the reservation needs to be refunded.

Pricing

The Northern Spain Travel prices are shown in EUR per person for our Private Tours. They are based on double occupancy, and don’t include tax. In the case of guests who wish to have their own room, they will be charged a Single Supplement.

Since we only do Private Tours, the tour prices may differ from the price listed as the price may vary depending on the group size, dates, and hotel availability. There is no change in price for late arrivals or early departures from a tour, including any non-rider travelers.

Tour Cancellation by Guest

All cancellations must be submitted to Northern Spain Travel in writing and will be subject to a cancellation fee (“Cancellation Fee”) as follows: (a) if the cancellation notice is received by Northern Spain Travel 91 or more days prior to the scheduled departure date, the Cancellation Fee will be forfeiture of the full deposit per person per program; (b) if the cancellation notice is received by Northern Spain Travel 90 or fewer days prior to the scheduled departure date, the Cancellation Fee will be the full program price.

Note: Private tours may be subject to alternative terms and conditions as outlined in the final tour proposal.

Requests to change the tour or date of an existing reservation will be accommodated based on availability, and will be handled on a case-by-case basis. When Northern Spain Travel is able to accommodate changes, a minimum 250 EUR change fee per group will be applied. Private Tour guests may have to pay any increase in tour price caused by the change and it will be the responsibility of the travellers to accept any additional cancellation fees incurred from hotels, etc.

Cancellation Insurance

Protect your travel investment, your personal belongings, and most importantly, you. To avoid cancellation and trip change costs, we strongly recommend you purchase cancellation insurance to protect yourself from unexpected circumstances that may cause you to cancel your trip.

Tour Cancellations or Changes by NST 

Experiencias Out of the Box S.L  reserves the right to cancel any trip at any time for any reason determined at our sole discretion, including if there are too few participants, or if the quality of the trip, or the safety of travellers is judged by Experiencias Out of the Box S.L  to be compromised. In such a case, refund of payments received by Experiencias Out of the Box S.L  shall constitute full and final settlement. In the event of cancellation, Experiencias Out of the Box S.L  is not responsible for any loss incurred on account of non-refundable or non-transferable air tickets or other unrecoverable travel costs. Experiencias Out of the Box S.L retains the sole discretion to run any trip notwithstanding the occurrence of any event or the existence of any condition in or near any place of travel included on a trip itinerary, or in proximity to such a place or affecting travel, including air travel, in general. If Experiencias Out of the Box S.L  determines in good faith to run a trip, then no refund under this paragraph shall be payable with respect to that trip and any traveller cancelling a reservation shall be bound by the cancellation policies identified in the preceding paragraphs.

Liability and Risk

Cancellation Insurance

Before travelling on a trip, we strongly recommend you review your personal insurance and health insurance to ensure you have coverage appropriate to meet your needs, and the needs of your family and dependants, in case of any loss of property or illness, injury or death. We recommend Aon Agencies cancelation insurance company. A summary of the Aon Agencies cancellation and medical insurance will be included with your confirmation package. The price of Aon Agencies travel protection is determined by factors such as the type of journey you will be taking with us, the trip price and age. Please reach out to us for an exact quote.

Risks

All Northern Spain Travel trips are intentionally designed to take clients “off the beaten path” to places where facilities, infrastructure, safety and other standards may not be sophisticated and may be different from those in a traveller’s home country. Tours involve physical activity that can be demanding, depending on the condition of the traveller, and the risk of serious personal injury, including permanent disability and death from accident, illness or the actions or negligence of other persons. There are other risks associated with the trips, such as theft or loss of or damage to property. Some of the services provided in connection with the trip, including lodging, transportation, food service, and local tours and activities, are obtained from independent suppliers over whom Experiencias out of the Box has no control.

Release of Liability

You will receive a Traveller Information Form to complete, which must be signed and returned to Northern Spain Travel after the first payment. By sending a deposit toward your trip purchase and returning your Traveller Information Form, you certify that you do not have any physical condition or disability that would create a hazard for you or other travellers. In the case you have booked a bike tour, this document will enable NST to secure your bike or other necessary equipment, note dietary restrictions, and recognize any special requests you may have.

When pricing each Northern Spain Travel tour, we strictly and expressly rely on each traveller to read, sign and return our standard Acknowledgement of Risk, Release and Indemnity form. This document will be sent to you after you have paid your initial deposit, and is also attached here. The document must be completed and returned to us at least 90 days prior to the trip’s departure. Our receipt of the completed and signed form will complete your reservation.

Age Requirements

We require that travelers who participate in a scheduled departure be no younger than 17 years of age (at time of travel) on all regular Private Group Tours, with the exception of ‘Family’ tours, where the age limitation is to be a minimum of 8 years old. Additionally, children who wish to ride an e-bike must be 10 or older. The travellers under the age of 18 must be accompanied by an adult. There are no general age limitations on private ready-to-book trips, custom trips, or self-guided trips, although specific itineraries may have age-specific activities, and all minors must be accompanied by an adult.

Preparing your Trip

Please read our trip materials information about clothing, training and medical requirements, and to appreciate that in Spain the local living standards, practices, services and accommodations may differ from those in North America or your country of origin. Our trips entail risks—and rewards—beyond those encountered at home. We count on our travellers to ensure they are healthy and fit.

Travel Services

Upon traveller request, Northern Spain Travel may recommend hotels, transportation, restaurants, and other services outside the NST tours. While our recommendations are based on excellent and reliable companies, we do not guarantee their services and are not liable for issues, or cancellations that may arise.

Bike Requests

Travellers are asked to choose a road, or mountain bike (in certain destinations). Electric bikes are available for all our tours for an additional fee. Travellers must submit their preference to Northern Spain Travel no later than 30 days prior to departure. Requests submitted inside 30 days prior to departure will be subject to availability and may not be not guaranteed.

Arrival and Departure Transfers

Each tour itinerary, gives recommended times and locations for arrival and departure to and from your tour. Northern Spain Travel provides group transfers to and from the tour, within reason and in accordance with the pick-up and drop-off recommendations. When your flight or train or other means of travel falls outside the departure or arrival time or location, you may be responsible for extra costs incurred in arranging a separate transfer.

Miscellaneous

Travelers give Northern Spain Travel permission to use for promotional and commercial purposes the photographs or film taken of the trips and agree to assign all right, title, and interest they may have in or to any media in which their name or likeness might be used without remuneration now or in the future. Northern Spain Travel photography within this website is copyrighted by Northern Spain Travel and may not be reproduced without permission. The Traveler agrees that Northern Spain Travel may use any testimonials regarding services rendered for promotional and/or commercial purposes without any remuneration now or in the future.
